A meeting benefits from a clear purpose. Sharing a short agenda in advance gives colleagues time to identify the information they need and prepare their contributions. Distinguish items that require a decision from those that are being shared for awareness.
A starting point for discussion
Close each discussion by confirming the agreed action, the person taking responsibility and an appropriate review point. Check that colleagues have understood the decision in the same way. Where an issue needs more time, give it a clear route for follow-up.
- What do we understand about the question?
- Whose perspective would help us explore it?
- What needs to be checked before any next step?
Agreeing the next step
Make a brief record of the questions raised and the action agreed. Keep identifying or confidential details within your organisation’s authorised systems. Revisit the conversation through the appropriate team or supervision arrangements.
